This Privacy Policy explains how Vostoc LLC, doing business as SmartHome Appliances & HVAC ("Company," "we," "us," "our") collects, uses, discloses, and protects personal information when you visit smarthome-appliance.com (the "Site") or use our services (collectively, the "Services").

A. Information You Provide

  • Contact details: name, phone number, email address, mailing address, service address
  • Service request details: appliance/AC type, model/serial (if provided), issue description, photos/videos you upload
  • Scheduling and billing details: appointment preferences, invoice details, payment status (payment card details are processed by third-party payment providers; we do not store full card numbers)
  • Communications: emails, chat messages, call notes, SMS/text messages, and recordings where permitted and disclosed
  • SMS consent records: opt-in date, time, IP address, and method of consent

B. Information Collected Automatically

  • Device and usage data: IP address, browser type, device identifiers, pages viewed, time spent, referring pages
  • Analytics data: clicks, scrolls, session behavior, and navigation patterns collected via PostHog analytics
  • Session recordings: if session replay is enabled via PostHog, mouse movements and page interactions may be recorded. Sensitive fields such as passwords and payment inputs are automatically masked.
  • Cookies and similar technologies used for site functionality and analytics (see Section 6)

2. HOW WE USE PERSONAL INFORMATION

We use personal information to:

  • Provide and manage the Services (intake, scheduling, dispatch, diagnosis, repair, and customer support)
  • Send service-related communications (confirmations, reminders, technician ETA, service updates, invoices/receipts)
  • Send promotional communications only to users who have explicitly opted in (discounts, offers, service reminders)
  • Improve our Site and Services, including troubleshooting, analytics, and quality control

  • Comply with legal obligations and enforce our agreements and policies

3. CONSENT TO COMMUNICATIONS (CALLS & EMAILS)

When you submit a form on our Site (including service request, quote request, account registration, or appointment scheduling), you agree that we may contact you regarding your request via phone call or email, including via automated technology where permitted by law.

SMS/text message communications require separate, explicit consent and are governed by Section 4 below.

4. SMS/TEXT MESSAGING (A2P / CARRIER-COMPLIANT)

SMS messaging is strictly optional and requires your explicit consent. Submitting a form does not automatically enroll you in SMS communications.

SMS Sharing Policy

SMS Consent, and phone numbers collected for SMS communication purposes will not be shared with any third party or affiliates for marketing purposes.

A. How to Opt In

You may opt in to receive SMS messages from Smart Home Appliance through any of the following methods:

  1. Website Form — Complete our service request or appointment form at smarthome-appliance.com and select the optional SMS consent checkbox. The checkbox is not pre-selected. Submitting the form without checking the box does not enroll you in SMS.
  2. CRM Intake Form — When our team creates a service record on your behalf, you may be presented with an SMS consent option. Consent is never assumed — you must explicitly agree before any SMS messages are sent.

B. What You Will Receive

If you opt in, SMS messages may include:

Transactional/Service Messages:

  • Appointment confirmations and reminders
  • Technician dispatch and ETA notifications
  • Service status updates and completion notices
  • Invoices and payment notifications
  • Customer support responses

Promotional Messages:

  • Offers, discounts, and service promotions
  • Sent only to users who have separately and explicitly consented to promotional SMS

C. Consent Records

We record and store your SMS consent along with the date, time, IP address, and method of opt-in. This information is retained for a minimum of 4 years for TCPA compliance.

Message frequency varies based on your service activity. Message and data rates may apply depending on your mobile carrier and plan.

E. How to Opt Out

Reply STOP to any message at any time. You will receive one final confirmation and no further SMS messages will be sent. To re-enroll, text START to [phone number].

Mobile carriers are not liable for delayed or undelivered messages.

H. No Sharing for Marketing

We do not sell, rent, or share consumer mobile phone numbers for marketing or promotional purposes.

5. HOW WE SHARE INFORMATION

We may share personal information in these limited situations:

A. Service Providers / Vendors

We use the following vendors to help operate our business. They may access information only as needed to provide services to us and are contractually required to protect it:

  • Housecall Pro — CRM, scheduling, dispatch, and customer management platform. Receives customer name, phone number, address, and service history.
  • Twilio — SMS delivery platform. Receives mobile phone numbers and consent records solely for message delivery.
  • PostHog — Website analytics and session tracking platform. Receives IP address, browsing behavior, and session data. Does not receive SMS consent data or financial information. Privacy policy: posthog.com/privacy
  • Payment Processors — Handle invoice and payment transactions. We do not store full payment card numbers.
  • Email Providers — Used for service and transactional emails.

B. Technicians and Contractors

We may share necessary details (name, address, issue description, appointment info) with technicians or contractors to complete your service job.

C. Legal and Safety

We may disclose information to comply with law, respond to lawful requests, protect our rights, prevent fraud, and protect customers and the public.

D. Business Transfers

If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information.

We use cookies and similar technologies to:

  • Consent data is shared with Twilio solely for message delivery purposes
  • You may request deletion of your SMS consent record by contacting us at info@smarthome-appliance.com — note that deletion of consent records may require us to cease all SMS communications to your number
  • We honor STOP opt-out requests within one business day
